How Serious Is the Theft Risk in Academic Special Collections?

p p strongReported theft in academic special collections is uncommon, but the rarity of an incident is not a reason to relax controls when a single loss can be unique, costly and reputationally damaging./strong/p p Primary Research Group found that 7.69% of surveyed departments had experienced a theft from special collections during the previous five years, while 76.92% reported none. The low reported incidence makes comparison of detailed prevention practices more&mdashnot less&mdashimportant because a single loss may be difficult or impossible to replace./p p Security must balance protection with scholarly access. Reading-room registration, controlled retrieval, item counts, staff sightlines, secure storage, exit procedures and documented incident response can reduce risk without turning the collection into an inaccessible vault. The strongest controls are consistent enough to become routine for staff and understandable to researchers./p p Rare events also require rehearsal. Departments should know who preserves video or access logs, who contacts campus security and counsel, how missing material is documented and when professional networks or law enforcement are notified. Training matters because a policy that staff have never practiced may fail under pressure./p p Leaders should interpret the low incidence rate as a benchmark, not a guarantee. Review controls against collection value, staffing, facility layout, exhibition activity and user volume. Effective security protects both the object and the institution's ability to provide responsible access&mdashthe reason special collections exist in the first place./p p  /p/p
